PSI seeks a Document Management Assistant to provide administrative support to the Grants and Contracts department, with emphasis on managing the departmental filling system.  The position is based in Washington, DC and reports to the Compliance Manager
 
RESPONSIBILITIES

  • Organize and manage contracts department filing system
  • Provide administrative support in word processing, proofreading and file management
  • Assist in maintaining contract database information
  • Project setup and process modifications in the database
  • Assist with research and responses to audit questions
  • Photocopying, scanning and faxing
  • Disseminate critical contracts information to PSI staff worldwide
  • Conduct Internet research; assist with updating information on donor regulations
  • Manage PSI’s internal Grants and Contracts page
  • Other duties and special projects as required and requested

 
QUALIFICATIONS:
 

  • Bachelor's degree or equivalent experience
  • 2+ years work experience in a fast-paced office environment; prior document management experience is highly desired
  • Proficiency in word processing, presentation, and spreadsheet software
  • Strong writing, analytical, interpersonal, organizational, and cross-cultural skills
  • Willingness and ability to perform and prioritize a variety of tasks on short notice within designated deadlines
  • French skills desired

 
The successful candidate will a working knowledge of document management and will demonstrate his/her ability to work independently as well as within a team; have strong organization skills; and have the ability to manage multiple tasks in a fast paced environment.
